This policy explains what personal information Defrag collects, how we use it and the choices you have. "Defrag", "we" and "us" mean Defrag, based in Austin, Texas. Questions about privacy go to jlyle@rundefrag.com.
It covers three things: this website, people who contact us, and the Defrag CRM service we provide to business customers.
This website
rundefrag.com sets no cookies and runs no analytics, advertising or tracking code. It loads no third-party scripts, fonts or embeds. Our hosting provider, Vercel, keeps standard server logs (such as IP address, browser type and the pages requested) to run and secure the site.
When you contact us
If you email us to book a demo or ask a question, we receive your name, email address and whatever you include. We use it only to reply, arrange a demo or follow up on your enquiry or support request. Email is handled by our Google Workspace account.
We keep these emails for as long as we need them for that purpose.
Phone and text support
If you contact us by phone or text for technical support, we keep your number, the messages and our notes of the conversation so we can resolve your request and improve our support. We do not sell this information or use it for marketing. See our SMS Terms for how we use text messages.
The Defrag CRM service
Our customers are businesses. They use Defrag to store records about their own contacts, including notes, emails, calendar events and call summaries. For that information the customer is in control: it decides what goes into Defrag and why, and we process it on the customer's behalf and under its instructions to provide the service.
- Each customer's data is kept separate from every other customer's at the database level.
- Defrag uses AI to summarise calls, propose record updates and draft messages. Every AI output is staged for a person at the customer to accept, edit or send. Nothing is sent to anyone automatically.
- We do not use our customers' data to train AI models, and we do not sell it.
If a business that uses Defrag holds your details and you want to see, correct or delete them, contact that business first. If you contact us instead, we will pass your request to the business and help it respond.
Who we share information with
We use a small number of service providers to run Defrag. They process information only to provide their service to us:
- Supabase: database, sign-in and file storage, hosted in the United States
- Vercel: website and service hosting
- Google: sign-in, and the Gmail and Google Calendar connections a customer chooses to switch on
- Anthropic: AI processing for summaries, suggested updates and drafts
- Voyage AI: search indexing, so records and calls can be searched by meaning
A customer may also connect its own call recording or transcription service; that provider's terms then apply.
We do not sell personal information, and we do not share it for cross-context behavioural advertising. We may disclose information if the law requires it, or to protect the rights and safety of our users or others.
Security
All traffic to our website and service is encrypted (HTTPS). Access to customer data is limited to the customer that owns it and to the people at Defrag who need it to run and support the service.
Your rights
Depending on where you live, including under US state privacy laws and UK and EU data protection law, you may have the right to access, correct, delete or receive a copy of your personal information, and to object to or limit how it is used. Email jlyle@rundefrag.com to make a request. We will not treat you differently for exercising these rights. We respond within the time the law requires, usually 30 days.
Children
Defrag is a business service and is not directed at children under 16. We do not knowingly collect their information.
Changes to this policy
If we change this policy, we will update the date at the top of this page. Material changes will be highlighted here before they take effect.
