What the AI does

What the AI does, and what it never does

Defrag uses AI to read the work and prepare the next step. A person makes every decision.

It does

  • Proposes field updates. After a call, it suggests changes to the record, field by field.
  • Drafts emails. Submissions and follow-ups are drafted from what was said, then wait in the composer.
  • Summarises calls. Calls and meetings are summarised and kept on the record of the people on them.
  • Finds what was said. Search reads calls, notes and CVs by meaning.

It never

  • Sends. Nothing is sent without a person's approval. Reminders become tasks, never messages.
  • Overwrites a record without approval. A field changes when someone accepts the proposal for it, or edits it.
  • Decides who to contact. It does not reach out to anyone on its own. Who you contact, and when, is your call.
Principles

Your reputation rides on every email that leaves your desk. Defrag is built so that nothing goes out, and nothing in the record changes, without a person choosing it.

Nothing sends itself

Nothing is sent without a person's approval. A reminder creates a task for you, never a message.

Every change is reviewed

AI output is staged as a proposal or a draft. Canonical fields change only when someone accepts.

A skill is the instruction set the AI follows for one job, such as reading a call or drafting a submission. In Defrag each skill is a record in your workspace. Your admins edit what it does and the context it draws on.

The firm's voice guide shapes every text draft. Workflows, note types and other lookups are settings too, so changing how your desk works does not wait on a release from us.
