Leave your existing CRM, keep your history
Your database is years of relationships. We bring it across in stages and check each one before the next begins, so you start on Defrag with your records and history.
Your records, and the history around them
These are the record types we have brought across. Notes keep their call and message history, and the current CVs and company documents are stored privately for your firm.

Six steps, in order
We run the move with you. Each stage is checked before the next one begins.
-
1
We look at your existing CRM
We read through what you have to see how it is laid out and what it holds. We do not change it.
-
2
We map it to Defrag
Your record types, statuses and fields are matched to the way Defrag holds them.
-
3
We rehearse each stage
A dry run shows what would land in Defrag, and nothing is written.
-
4
We load it in stages
Companies, contacts, candidates, jobs, applications, placements, notes, then documents, with each stage checked against your existing CRM before the next begins.
-
5
We list what did not fit
A record that cannot be linked, such as an application whose job or candidate is missing, is reported to you rather than forced in.
-
6
You check it before your team starts
The result is verified before anyone works in Defrag, so your team starts on a record you have seen.
Before you switch
Which CRMs can you move from?
We built the move by bringing a working search firm's full database across from a major recruitment CRM. If you use a different system, we'll look at an export with you before you commit, and tell you plainly what comes across.
Does the move change my existing CRM?
No. The import reads from your existing CRM. It does not change it.
What happens to CVs and documents?
The current CVs and company documents are brought across and stored privately for your firm.
What if some records do not match up?
We list them for you rather than forcing them in. A record that cannot be linked, for example an application whose job is missing, is reported so you can decide what to do with it.
Can the AI change my imported records?
No. AI output is staged as a proposal or a draft. A record changes when a person accepts the change.
